Glossary of Terms and Jargon
Activate : When a User is activated, they are moved from the Inactive List in your organisation to the Active List. This gives them access to your Organisation. They may have left your organisation and then come back again.
Add a User : This can mean two things: add a new User of PeopleSafe, ie staff member, to your Organisation by creating a staff profile or add an existing User ie staff or Friend, by connecting them to your Organisation.
Alerts : 1. PeopleSafe sends out email or text alerts to Coordinators, Managers and Workers. This may happen for several reasons; a safety story has been told, a task needs completing; training is needed or gear needs checking.
2. Alerts is also a feature in the software which allows a Coordinator or Manager to get information out to staff quickly. Alerts are sent to staff directly from the web browser and can be viewed from the Mobile App.
Connect : This is the feature in PeopleSafe that allows a person who is an existing User of PeopleSafe to be added to another organisation.
Culture : Shared attitudes, beliefs, perceptions and values in a workplace.
Event : This refers to anything that happens in the workplace where the safety of workers may be at risk.
Controlling/Managing/Minimising :(risks)
Deactivate : When a User is deactivated, they're moved to the Inactive List in your Organisation. As soon as they have been deactivated they will no longer have access to your Organisation.
Friend : This is anyone who is not a staff member but needs access to your site. Friends are divided into three categories for security purposes : Standard Friend, Auditor, Adviser.
Gear : This is the generic name PeopleSafe gives to equipment, plant, machinery and buildings. Gear is divided into types, eg Company Vehicles, Safety Equipment (PPE), Buildings, Machinery and Furniture.
Gear Profile : A Gear profile is the record for each Gear item added to your PeopleSafe site. It is one place to hold all the Gear's information together.
Jobs : A “Job” is the name PeopleSafe gives to each functional work role within an organisation. Jobs in PeopleSafe are related to, but not always the same as Job Titles used in an organisation. A staff member can be and often is, assigned multiple Jobs.
Manage Users : This a type or level of security clearance in PeopleSafe. It refers anyone who is responsible for people in the organisation. You might call them Supervisors, Team Leaders, Managers or something similar.
Notification : This is a term used when an automated email or text is received by a User from PeopleSafe
Organisation/Business/Company : These terms may all be used to refer to an entity that has a PeopleSafe subscription
PCBU : Person Conducting a Business or an Undertaking. For more details see WorkSafe website.
PeopleSafe : The name of our Health and Safety software
Put it in PeopleSafe : When we say this we mean use the PeopleSafe mobile App or text to 4163 or use Tell Your Story in the web browser, to tell a safety story. The information you provide will now be recorded in a central place and the right people will know what's happened.
PeopleSafe Coordinator : Or Coordinator, this is the person who does all the set up of PeopleSafe in an organisation and who has overall responsibility for the day to day management of the PeopleSafe software. There can be anywhere from one to five Coordinators for one organisation depending on the size of the site and number of staff to manage. The people who are Coordinators in PeopleSafe are normally the Owner/Operators, Health and Safety Coordinators, Administrators or 2IC. Importantly the term Coordinator is also used as a type or level of security clearance in PeopleSafe.
Review : Every story put in PeopleSafe will be looked at by a Manage User or PeopleSafe Coordinator. If the story warrants it, a series of questions will be answered in the software about that story and it will be checked for content. Discussions and decisions will be made about what to do
Risk : These are the things that have the potential to harm people. They can be physical things, chemicals or substances, mental stress, fatigue, the work environment or pathogens (bacteria, virus and fungi).
Safety Plan : The plan put in place to keep people safe from a risk. The goal of the safety plan is to minimise and/or isolate the serious risks (the risks that could cause harm) as well as a plan for when things do go wrong. The level of risk will depend on factors such as how often the job is done, the number of workers involved and the potential for serious injuries

Smart Lists : Smart Lists are about giving you lots of options to view and report on your information / data. PeopleSafe takes ordinary list views, e.g, the Stories told list, your Staff list, training etc and provides you with options to display additional columns of data, or filter your data by any criteria. It allows you to produce reports directly from your data.
Staff Profile : To use PeopleSafe, a Staff Profile must be created for each person. It is the record that holds all the information about each person added to your PeopleSafe Organisation
Standard Staff : A type or level of security clearance in PeopleSafe. It applies to most workers. Someone with this clearance can see their own personal details and training information.
Story : Story is the name PeopleSafe gives to all the events that happen because of the work we do.
Story type : PeopleSafe puts stories into several categories, known as Story types. For example Accident, Injury, Threatening Behaviour, Vehicle Crash
StoryAnywhere : The feature found in the PeopleSafe Mobile App that is used for telling a quick story. It is used from a mobile device or from a cellphone.
StoryAnywhere Alert: When a story is told using StoryAnywhere, an Alert is automatically sent via email and/ or TXT message advising of the fact. A TXT message is sent if the story is considered serious. At the same time a record of the Story is saved in PeopleSafe in the Stories List.
StoryAnywhere email: This is an automatically generated email received after a story has been told using StoryAnywhere.
TXT- In: This is part of the StoryAnywhere feature and is used when a User doesn't have internet access or doesn't have the Mobile App on their cellphone.
Tell Your Story : The feature in PeopleSafe you'll use to share your safety stories. It allows you to tell a quick story using the Mobile App or a full or comprehensive safety story using a computer or web browser.
Tell Full Story : When the StoryAnywhere feature is used to tell a safety story and the person reviewing that story decides that more information is needed, they will use the Tell Full Story feature in PeopleSafe. The same information is gathered as in the Tell Your Story feature.
Tell Your Story Process : The Tell Your Story process is the steps in PeopleSafe you will use to make work safer. It always starts with a Story being told. Depending on the Story, it can be a quick process to resolve a safety issue or, depending on what you decide, a more detailed process requiring Telling a Full Story, reviewing a Story, writing a Safety Plan and setting up new training programmes.
User Account : A User Account in PeopleSafe is what is used to describe the way a person gets access to login to PeopleSafe
Worker : We use this term to describe anyone who is employed by an organisation
