Complete a Control ( Safety Plan Required) Task

Control Tasks, *aka* Safety Plan Required,  are created when a risk ( that's been added to PeopleSafe either via a Story being told or directly by adding a new risk under the Safety Plans tab ) is rated as serious and a Safety Plan is needed to explain how to control the risk. These tasks are automated as part of the Tell Your Story® Process and should be completed as part of the risk management process in your Organisation.

Find a Control Task

First you'll need to find the Control Task you want to view, there are a couple of ways to find and view the task:

The link in the Email from PeopleSafe Notifications

The link in the email you received from PeopleSafe Notifications will take you directly to the task in PeopleSafe.

  1. Open the email you received from PeopleSafe Notifications, it will have the Subject - A Risk Needs a Safety Plan
  2. Click the link in the body of the email, this should open the task in your web browser ( if you are logged in to PeopleSafe).
  3. Login to PeopleSafe if you're not already, to see the task.

Your Task list

Find the task you want to see from your task list.

  1. Click the Tasks icon in the top menu bar.
  2. Scroll or use the Smart-list to find the Task you want to open, then click View to see full details.


Edit a Control Task

The Due Date and the People who are given the task can be edited. 

  1. Go to the Options menu on the right of the task screen.
  2. Click Edit. 
  3. Make your changes.
  4. Click Save to finish.

TIP: You can add notes or attach files by clicking the Add Note or Attach File buttons when in the edit screen.


Complete a Control Task

A Control Task is completed by either:

  • Adding the risk that created the task to an existing Safety Plan
  • Creating a new Safety Plan for that risk

Add the Risk to an existing Safety Plan

  1. Go to the safety plan you want to add the risk to. 
  2. Click the Options menu to the right of the screen.
  3. Click Edit.
  4. Next to 'Risks this plan makes safer', click the down arrow to view all your risks.
  5. Choose the risk you want to add to the Safety Plan
  6. Click Save to finish and the task is complete.

Create a new Safety Plan 

  1. Click Create at the bottom of the Safety Plan Needed Task screen  
  2. Enter the details for the new Safety Plan including the next review date and how often it is reviewed.
  3. Click Save to finish and the task is complete.

More about Control Tasks

You will get a notification about, and access to, a Control Task when:

  • A User in a Job you Manage adds a risk that appears serious
  • You are a PeopleSafe Coordinator
  • Your name has been added to a Control Task. 

This means if you can't find the task, it is most likely you have not been given, or no longer have access to it.  Your PeopleSafe Coordinator can help give you access.
